Who is responsible
For partnership opportunities, contacts, notes, tasks, course-source submissions, and inquiry responses, the participating institution decides why the information is used and acts as controller. The Solemove operator processes that information for the institution under the pilot agreement. The Solemove operator separately controls account administration, service security, essential service analytics, pilot administration, and sourced directory information.
Information used
The service stores account identity and work email, institution membership and audit history, institution and course information, partnership workflow records, public-inquiry responses, and technical security records. Do not enter student applications, identity documents, health information, special-category data, or other sensitive personal data.
Why and with whom
Information is used to operate the controlled alpha, provide the institution workspace, secure and support the service, and evaluate whether the product is useful. Workspace information is visible only to authorized members of that institution. Vendors used to operate the service are listed in the subprocessor register.
Product measurement and feedback
Solemove records explicit product events using workspace and account identifiers, approved categories, count ranges, and operational timestamps. Event records exclude names, email addresses, search terms, notes, form answers, course text, and other customer-entered content. Broad autocapture and session replay are disabled. Feedback messages are stored separately for pilot support. A screenshot is attached only when the user selects a file, and the current page path excludes query parameters.
Information kept on your device
Quick capture keeps an unfinished prospective-institution name in this browser, scoped to your workspace, so navigation or a failed request does not discard it. Solemove removes this device copy when the opportunity is created or you clear the field. The pilot does not otherwise cache customer records for offline use or synchronize them through browser storage.
Public inquiry forms
An inquiry is delivered privately to the named institution. It does not create an account or expose the institution's pipeline. The institution uses the response to assess and respond to the proposed partnership. Solemove applies rate limiting and stores a keyed network-address hash for abuse prevention rather than exposing the address to workspace users.
Retention and rights
The operational schedule and deletion process are described in the retention notice. Requests about workspace content should normally be directed to the participating institution. Account, security, or Solemove-controlled processing questions should be sent to support@solemove.fi.
